DEER ORCHARD SHIPPING POLICY

  • Spring Shipping Season: Late February - June

    We ship trees during their dormant and early growing season to ensure the highest survival rates and healthiest transplants. All orders ship via UPS with tracking.

    Bare-Root Trees (Chestnuts, Apples, Oaks, Persimmons, etc.):

    • Deep South regions: Ship Mid February - early March

    • Midwest & Mid-Atlantic: Ship in March

    • Northern regions: Ship late March - April

    Potted Trees:

    • Grafted Pawpaws: Ship late May - June (potted pawpaws establish best when planted after leaf-out)

    • Grafted Apples & Pears: Ship March - April with your bare-root order

    • Seedling Trees: Chestnuts, Persimmons, Oaks, etc can ship Spring and Fall, but it will be cheaper to ship bare root in the Spring. Fall orders begin after dormancy, typically Mid November.

    Our Potted Tree Advantage: Unlike many nurseries, we DO ship potted stock! We remove the pot and place the root mass in a protective plastic bag. This maintains the complete root ball and precious fine root hairs—even better establishment than bare-root—while reducing shipping weight and cost.

    Late Orders: If you place your order after we have completed shipping to your region, we will ship within 5-10 business days.

    Monday Shipments: Trees ship on Mondays for Friday delivery, avoiding weekend warehouse delays.

    Shipping Notifications: You'll receive an email with tracking when your order ships.

    Shipping Costs
    Bare-Root Trees:

    • Orders $200+: FREE SHIPPING

    • Orders $100-$199: $35 flat rate

    • Orders under $100: $25 flat rate

    Potted Trees:

    • Calculated by weight at checkout (typically $40-$75 depending on size/quantity)

  • Due to historic difficulties or state agricultural regulations, we are unable to ship to the following states:

    Cannot Ship To:

    • Alaska (AK)

    • Arizona (AZ)

    • California (CA)

    • Hawaii (HI)

    • Idaho (ID)

    • Nevada (NV)

    • Oregon (OR)

    • Washington (WA)

    Our trees are grown in USDA Zone 6 (Cincinnati, Ohio region) and perform excellently across Zones 4-8.

  • We stand behind the quality of our trees. If we are notified by July 1st of the same year in which you received the tree, we will replace any tree that fails to grow by issuing a store credit for the price you paid for the tree minus the shipping cost (customer is responsible for shipping and handling on replacement orders).

    Beyond July 1st, there are too many variables in nature that we cannot control (extreme weather, rodent damage, disease, soil nutrient deficiencies, individual tree care, etc.) that can contribute to tree demise.

    To Request Warranty Replacement: Contact us at [email] with:

    • Your order number

    • Photos clearly showing the tree

    • Brief description of care provided (watering, planting location, etc.)

    We may request the tree be returned to us for inspection. We reserve the right to not re-issue credit for replacement of already replaced trees.

    What's NOT Covered:

    • Trees damaged by animals, equipment, or herbicides

    • Trees that fail after July 1st of the year received

    • Neglect, improper planting, or inadequate watering

  • Plant Within 3-5 Days: For best results, plant your trees as soon as possible after arrival.

    Bare-Root Trees: If you cannot plant immediately, keep roots moist and store in a cool location (35-45°F). Do not allow roots to dry out.

    Potted Trees: Water upon arrival and keep in partial shade until planting.

    Damaged Shipments: Inspect your trees immediately upon arrival. Contact us within 48 hours if there are any shipping damage concerns. Photos required for damaged shipment claims.

INTERNAL OPERATIONS & PROCEDURES

  • Early Southern Shipments (Late Feb - Early March):

    • Source: Camp Washington air pruning beds ONLY

    • Rationale: Canopy doesn't ship until March, so we can't rely on them for southern orders

    • Action: Reserve sufficient inventory in air pruning beds for estimated southern demand

    • Forecast: Track previous year southern orders (FL, TX, LA, MS, AL, GA, SC) to estimate quantity needed

    Main Shipping Season (March - April):

    • Primary Source: Camp Washington air pruning beds

    • Secondary Source: Canopy FM bulk orders (supplement as needed)

    • Tertiary Source: Other wholesale suppliers (as needed for specific varieties)

    • Strategy: Use our own stock first, order from Canopy to fill gaps or large orders

    Potted Pawpaws (Late May - June):

    • Source: Own grafted stock OR Peaceful Heritage wholesale

    • Lead time: Order from Peaceful Heritage in January-February if needed to supplement

  • Chestnut Seedlings (Bare-Root)

    • Southern shipments: Late Feb - Early March (Camp Washington stock)

    • Midwest shipments: March (Camp Washington + Canopy supplement)

    • Northern shipments: Late March - April (Camp Washington + Canopy supplement)

    • Process: Dig from air pruning beds → grade → bundle → pack → ship

    • Grading: Remove runts, damaged roots, poor form—only send quality stock

    Other Bare-Root Trees (Apples, Pears, Persimmons, etc.)

    • Same regional schedule as chestnuts

    • Source: Camp Washington + wholesale suppliers as needed

    • Note: Match varieties to appropriate zones (don't send cold-tender to Minnesota)

    Grafted Potted Pawpaws

    • Ship: Late May - June (all regions)

    • Source: Own production (priority) + Peaceful Heritage wholesale

    • Format: Remove pot, bag root ball, pack carefully

    • Why late season: Pawpaws establish best after leaf-out; roots are fragile

    Grafted Potted Apples & Pears

    • Ship: March - April (with bare-root orders when possible)

    • Source: Own grafted stock

    • Format: Remove pot, bag root ball

    • Advantage: Can ship with customer's bare-root order = shipping efficiency
